The Event Management database is a collection of several standard database applications that we put together to create one comprehensive event and customer tracking system. We then added several features to make data entry and reporting easier.

Event Management is an easy-to-use menu-driven database that has three main components:


Event Information.

This form displays all the pertinent information about each planned event. It also includes a subform that lists all the customers who are registered for that event. 

  •  Many fields are quick-entry drop-down fields that allow you to eliminate data entry errors.

  • The Start and End date fields represent the first and last day the event is conducted.

  • Date and time fields are formatted for easy entry.

  • Once you enter the 'Available Spaces' the 'Seats Remaining' is automatically calculated based on registration.

  • You can assign multiple Fee Schedules for each event.


Assign Event Dates. 

Once you've created an Event and defined the Start and End dates, you have to assign the specific dates that your event is running.  For example, your event might run every Tuesday and Thursday over a two-month period. 

The ‘Assign Event Schedule’ button opens the following screen.  Here you can assign the dates that your event is running; track canceled dates; and even block off dates that you do not want to schedule any events.

This form works with a form that display a chronological list of what events are running on any selected day.


Student information. 

This form displays the personal information about each customer. It includes a complete history of each event they’ve registered for the fee they were charged, the amount they've paid and the balance they owe, if any. 

From this screen you can add new customers, record payments and print invoices. There is even a form designed let you browse through your customer records in alphabetical order.

 


Other Features

  • Reports include: Alphabetical Customer List and Sales Report by month or event.

  • A form to  print labels and envelopes, allows you to select those customers to include before printing.

  • Automated Registration form.

  • Automated Payment form and Invoice report.

 

  • Several 'Quick-jump' points.  Just double-click on a registrant's name in the Events subform and jump directly to the Student form displaying that person's information.

  • The Event Calendar form shows all current events or you can select a specific date to view.

  • Click a Student button to view a list of registered persons for the event.
